Cookies and Sessions

We use cookies and similar technologies to keep you signed in and maintain your account session. These are essential for the Service to function and cannot be disabled while using Permanent Record. Once you choose to play a YouTube video, YouTube's video player may also use its own cookies and similar technologies; see the YouTube Videos section below.

How We Use Your Information

We use the information we collect to:

Payment Processing

We use Stripe to process subscription payments. When you subscribe to a paid plan, your payment information is collected and processed directly by Stripe. We do not store your credit card details on our servers.

YouTube Videos

Permanent Record uses YouTube API Services. When we play a saved YouTube video, we use YouTube's embedded video player, which is provided by YouTube.

When you open a saved YouTube video in the web app, nothing loads from YouTube. The page shows a copy of the video's thumbnail image from our storage, or our own placeholder, and so do your lists and search results. YouTube's player code and the player load only when you press play or choose a point in the video, such as a chapter or transcript timestamp. The player uses YouTube's privacy-enhanced mode (youtube-nocookie.com); its code loads from youtube.com.

The first time you play a YouTube video, we ask whether to allow YouTube videos. If you allow them, we record that choice on your account with the time, the version of the notice you saw, and your IP address and browser details as our servers received them, as we do when you accept these policies. You can withdraw it at any time with "Stop allowing" in your account settings. We record the withdrawal the same way, and we ask again before another video loads. If we can't save the withdrawal, the page says so and offers to try again; until it is saved, your earlier choice stays on record. If you delete your account, we keep only the type of each choice, the policy versions and its time.

When the player loads, YouTube receives information such as your IP address, browser and device details, which video is being shown, and that it is being shown in Permanent Record. Once a video plays, YouTube also receives information about that playback. YouTube uses this information to show and play the video, check whether it can be played and whether any restrictions apply, prevent fraud and abuse, and customize its player on Permanent Record and on other sites and apps. YouTube may also use it for other purposes, including advertising, and may place, read, or recognize cookies or similar technologies on your browser or device.

The player and everything shown in it, including any ads, are served by YouTube, not by Permanent Record. We do not choose or control that content or those ads.

We do not receive the information YouTube collects through its player. While a video plays, Permanent Record reads the current playback position from the player to highlight the matching chapter and transcript passage; this happens on your device and is not sent to our servers. If you move or resize the mini-player, we save its position and size on your device so it appears in the same place next time.

When you save a YouTube video, our servers download its thumbnail image from YouTube and keep a copy. No information about you is sent with that request.

When you save a YouTube video, our servers send its link to our transcript provider, Supadata, to get the video's transcript and details such as its title. We keep the link, transcript, and details in your archive like any other resource you save.

YouTube's collection and use of your information is governed by the Google Privacy Policy.

Third-Party Services

We use the following third-party services to provide and improve our Service:

To write summaries, answer your questions, and search your archive, our servers send content from your archive to these providers:

• OpenAI receives the text of items you save, including video transcripts, to write summaries and suggest tags. When you use Ask to ask questions about your archive, OpenAI also receives your question, selected context from earlier turns in that conversation, and passages and details from your saved items.
• Voyage AI receives text from your saved items, your searches, and your Ask questions, and turns them into search embeddings, which let search find items by meaning. When you use Ask, it also receives passages from your saved items to rank them by how well they match your question.
• turbopuffer stores the titles, links, summaries, tags, and text of your saved items, with their search embeddings, and receives your searches and Ask questions to find matching items.

After you first sign in, the web app's welcome page shows the profile picture from the account you signed in with, such as your Google account. Your browser loads that picture directly from that provider, which receives your IP address and browser details.

Browser Extension

Our browser extension captures web page content at your explicit request. When you save a page, the extension collects:

• Page HTML content and text
• Page URL and title
• Screenshots of the visible page
• Timestamp of capture

All captured data is transmitted securely (via HTTPS) to our servers and stored in your personal archive. The extension does not collect browsing history, does not run in the background, and only activates when you explicitly click the save button.

Information Sharing

We do not sell your personal information. We share your information with third parties only in the following circumstances:

• Service Providers: With the third-party services listed above other than YouTube, solely to provide the Service
• YouTube: When you choose to play a saved YouTube video, and when our servers download a saved video's thumbnail, as described in YouTube Videos above
• Legal Requirements: To comply with applicable laws, regulations, or legal processes
• Protection: To protect our rights, privacy, safety, or property
• With Consent: With your explicit consent for any other purpose

Data Retention

We retain your data according to the following schedule:

• Active Accounts: Your data is retained for as long as your account is active
• Cancelled Subscriptions: Data is retained for 60 days after cancellation, during which you may reactivate your account
• Expired Trials: Data is retained for 60 days after trial expiration
• After Retention Period: Data is permanently deleted and cannot be recovered

Backups: Residual copies of your data may remain in our backup systems for a limited time after deletion and will be removed during normal backup rotation cycles.

Data Security

We take reasonable measures to help protect your personal information from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction.

You have the right to:
